From Grant Agreement Preparation to Project Closure: Supporting KVASIR’s EIC Accelerator Journey 

How Nordic Innovators helped KVASIR navigate the full lifecycle of SEAFARER: from GAP assistance and reporting to amendments, project management and closure. 

Securing EIC Accelerator funding is a major achievement. But once the grant is awarded, a new phase begins, one that requires structure, consistency and a clear understanding of how innovation projects are managed in practice. 

For KVASIR Technologies, the SEAFARER project marked an important step in the development of its lignocellulosic biofuel oil technology for the maritime sector. The project focused on advancing an innovative biofuel solution with the potential to support the transition towards more sustainable marine fuels, while addressing the technical, regulatory and operational requirements that come with bringing such a solution closer to market. 

Nordic Innovators supported KVASIR across the full project lifecycle: from Grant Agreement Preparation to implementation, reporting, amendments and project closure. This was not only a matter of administrative assistance. It was about helping maintain continuity, clarity and control throughout a complex EIC project. 

The SEAFARER Project: Advancing Sustainable Biofuels for Maritime Transportation 

SEAFARER was designed to further mature, demonstrate and prepare KVASIR’s biofuel oil process for market. At its core, the project addressed a challenge that is highly relevant for the maritime sector: how to develop renewable fuel alternatives that can work within the realities of existing infrastructure, industry requirements and future decarbonisation pathways. 

The project involved technical development, testing, qualification, market preparation, supply chain considerations, regulatory monitoring and business planning. As with many ambitious EIC Accelerator projects, the scope was not static. The project evolved as technical, logistical and implementation realities became clearer. 

That is where experienced project support becomes particularly important. EIC projects require more than a strong technical concept. They require an ability to document progress, manage changes, maintain alignment with the Grant Agreement and keep implementation moving even when adjustments are needed. 

Our Role: End-to-End Support Across the Full Project Lifecycle 

Nordic Innovators supported KVASIR throughout the SEAFARER journey with a combination of strategic advisory, project management and operational back-office assistance. 

Our involvement started during the Grant Agreement Preparation phase, where precision, structure and responsiveness are crucial. The GAP phase sets the foundation for the entire project: the work plan must be coherent, budgets must be aligned, deliverables must be clearly defined, and the project logic must translate into a legally and operationally sound grant agreement. 

From there, our support continued into implementation. This included back-office assistance, continuous and periodic reporting, administrative coordination, amendment preparation and project management support. In practice, this meant helping KVASIR manage the many moving parts of an EIC Accelerator project while allowing the internal team to remain focused on technology development, partner engagement and strategic commercialisation activities. 

Our work covered both the visible and invisible layers of project execution: maintaining reporting discipline, supporting documentation flows, preparing structured inputs, coordinating follow-up actions, ensuring consistency across project materials and helping translate project developments into compliant grant documentation. 

Why This Support Mattered 

In EU-funded projects, administrative precision is not a formality. It directly affects the project’s ability to progress, adapt and demonstrate accountability. For SEAFARER, the project evolved over time, including the need to prepare and document amendments to reflect updated project realities. This is a common feature of ambitious innovation projects: technical, logistical and market conditions can change, and the project structure must be adapted without compromising compliance, transparency or strategic direction. 

Nordic Innovators helped ensure that these changes were handled professionally. Amendment preparation required more than editing documents. It required understanding the project logic, clarifying the rationale for changes, aligning work packages and deliverables, and ensuring that the revised structure remained credible and coherent for the granting authority. 

Our support contributed to: 

  • clearer project documentation;  

  • stronger reporting readiness;  

  • better structure around amendments;  

  • smoother coordination of administrative tasks;  

  • improved alignment between project activities and grant obligations.  

For a technology-driven company, this matters because EIC Accelerator projects place significant demands on internal teams. Founders, technical leads and management must balance development work with reporting, documentation, financial follow-up and communication with the granting authority. 

A Model for EIC and Horizon Europe Project Support 

SEAFARER shows how important it is to treat project management as part of the innovation process, not as a separate administrative layer. In complex EU-funded projects, the ability to keep information organised, anticipate documentation needs and respond clearly to changes can directly influence how smoothly the project moves forward. 

For other EIC Accelerator and Horizon Europe beneficiaries, the lesson is practical: implementation works best when the project framework is actively maintained throughout the lifecycle, not revisited only at reporting deadlines or closure. This helps teams avoid last-minute pressure, reduce inconsistencies and keep the focus on technical progress and market preparation. 

KVASIR’s experience highlights the value of having support that understands both the funding requirements and the realities of innovation projects. When these two perspectives are connected, project delivery becomes more structured, more manageable and better aligned with the objectives set out from the beginning.
